This article will explain all the available user permissions in ExpenseWatch.
Please Note: Some permissions can only be given at the root (company) level.
Approve Requisitions | Enables the user to be added to the S.A.F. for Requisitions. This permission must exist in a user or role in the specific business unit for the user to be available in the SAF for that business unit. |
Central Ordering (Root Only) | If your company has Central Ordering enabled, this permission identifies the user who will place the purchase orders for your company. |
Enter Packing List | Enables user to create a packing list to record goods received. |
Enter Requisition | Enables user to create a Purchase Requisition to request the company to purchase goods or services. |
Accounting Review | Enables user to perform accounting review on an Invoice and Expense Report. The Accounting Reviewer reviews and approves the transactions after all S.A.F. apprvers have reviewed it, providing a final check for the accounting department before the transaction is exported to the customer's accounting system. The Accounting Review permission also provides secondary business functions such as exporting and full access to all users archives. |
Approve Invoices | Enables user to be added to the S.A.F. for Invoices. This permission must exist in a user or role in the specific business unit for the user to be available in the SAF for that business unit. |
Check Invoice (Root Only) | Enables user to access Unassigned Invoices Queue in Invoices tab. |
Credit Card Administrator (Root Only) | This permission gives users the ability to manage company credit card accounts/cards. |
Enter Invoice | Enables user to create an invoice. |
Manage ACH Payments (Root Only) | Enables user to manage invoices that are being paid via ACH. |
Manage BU/Vendor Assoc. (Root Only) | Enables user to restrict certain vendors to certain business units. |
Pay Statements Using ACH (Root Only) | Enables user the ability to pay credit card statements via ACH. |
Approve Expense Reports | Enables the user to be added to the S.A.F. for Expense Reports. This permission must exist in a user or role in the specific business unit for the user to be available in the SAF for that business unit. |
Configure Expense Reports | Enables user to add/edit T&E categories and association. |
Enter Expense Report |
Enables user to create an expense reports. |
Add/Edit Categories | Enables user to add/edit the product categories from the company catalog. |
Add/Edit Products | Enables user to add/edit the products from the company internal catalog. |
Add/Edit Vendors | Enables user to add/edit the vendors from the company catalog. |
Administrator |
Enables user to access Policies tab and configure users and business units.
Administrators can do the following:
Please Note: The Administrator permission does not enable a user to enter or approve transactions, configure the catalog, or view reports. However, an Administrator can enable those permissions in any user account, including their own account. |
Approval Delegate |
Enables user to be added to delegate approver. Please Note: You can only mark this checkbox if you enable the company preference: Turn on User Approval Delegation fr approvers with Approval Delegate permission. |

Tax Administrator (Root Only) | Enables user the ability to configure the system to utilize the Foreign Taxes module. |
Travel Administrator (Root Only) | Enables user the ability to manage travel booking feeds that are imported into the system. |
Void Transactions (Root Only) | Enables user to void transactions based on their status; for ex, if the transaction is still in the Purchase Requisition stage, this user can void the Purchase Requisition. |
Aging Report (Root Only) | Enables user to run Aging Report. |
Budget Reports |
Enables user to run Budget Reports. |
Change History Reports (Root Only) | Enables Administrator to see a history of the changes any Administrator has made to a business unit's record in ExpenseWatch. |
Company Data Reports | Enables user to run Company Data Report, which shows company lists (vendors, products, GL Accounts, Catalog Categories and company-wide transaction data). |
Custom T&E Report (Root Only) | Enables user to run Custom Travel and Expense Report. |
Invoice Status Report | Enables user to run Invoice Status Report. |
Maps and Locations Report | Enables user to run Maps and Locations Report. |
Open PO Reports | Enables user to run Open PO Report. |
PO Accrual Report | Enables user to run Accrual Report. |
Project Reports | Enables user to run Project Report. |
Receiving Report | Enables user to run Receiving Report. |
Spending Reports | Enables user to run Spending Report. |
T&E Reports | Enables user to run Travel and Expense Report. |
Tax Report | Enables user to run Tax Report. |
Trans. History Reports (Root Only) | Enables user to run Transaction History Report. |

Report Viewer (Root Only) | Enables user to access Custom Reporting module and schedule the reports. |
